I sent a version of this question to [email protected], but decided to put it here as well in case I can get an answer more quickly.
My room reservation transitioned smoothly from q-rooms to Westin.
However, when I received the confirmation email from Westin, the cost after taxes was several hundred dollars higher than expected.
Looking at the details, they are charging a $180+ tax “Extra Person Fee”. I have 3 people staying in a room with two queen size beds. to me that is a 4-person room. I never had a charge like this at Marriott or Embassy Suites.
Before I contacted Westin, does anyone know if there was anything in the GenCon agreement with Q-rooms regarding this issue about which I need to be aware? I could understand if I had 5 people in a room, but queens are designed for 2 people. Otherwise they would be twins or doubles.
If this is an allowed charge, shouldn’t I have been notified of this at time of booking?

Just looked more closely at the q-rooms confirmation and it clearly states the rate for additional guests 2-4 is $0 each. Hopefully that will be enough for me to get Westin to eliminate the cost.
Thought I replied to this earlier, but apparently not.
I have a similar situation with a reservation at Hilton Indy. The Q-rooms rate is $264/night with no extra person fee, but Hilton's confirmation says $284/night - with no fees. I've emailed Q-Rooms, and will follow up with Hilton next.
I called the hotel and the IVR pushed me to central reservations. They were able to see the fee but not access the reservation. They recommended I call the hotel directly (which is what got me to them) but ask for the front desk. I did so.
I got a wonderful person who saw the reservation at the correct rate but not the extra fee. Her total after taxes matched exactly what was in the Q-rooms confirm. She noted in the reservation that we talked and she confirmed this in case there’s an issue when I’m there. She also had me send her a copy of the confirmation email from Westin with the higher charges.
I had the exact same charge for 4 people in a Queen/Queen at the Westin. I plan on calling today.

Just spoke with Hilton and they say this might have been a typo on the Gen Con/Q-Rooms side. The rep said the rate they contractually agreed to with Gen Con is the one I was billed.
A rep at The Westin said this is an issue on the Marriott Bonvoy app and Marriott website. The Westin does NOT have an Extra Guest Fee. I'd say to double check your invoice on Sunday to ensure that fee is not there.
